Resource · copy, print, adapt to your workflow
Quote follow-up templates.
Four touches over twelve days. Change one line so it sounds like you. The timing is a starting method to test, not a rule.
Day 0
Email or agreed messaging channelConfirm the quote or proposal arrived and make it easy to ask a question.
Hi {first name}, I’ve sent the {quote or proposal} for {product or project}. It covers {main requirement}. Let me know if it hasn’t arrived or if you’d like me to clarify anything. — {your name}, {company}
Day 3
Email or agreed messaging channelOffer useful clarification without creating urgency that does not exist.
Hi {first name}, have you had a chance to look at the {quote or proposal}? Happy to explain {scope, options or delivery details} if that would help you decide.
Day 7
Personal follow-upCheck whether their priorities or requirements have changed.
Hi {first name}, is {product or project} still something you’re considering? If your requirements or timing have changed, let me know and we can review the options.
Day 12
Email or agreed messaging channelClose the loop politely. Adapt this date to the actual decision cycle.
Hi {first name}, I’ll pause the follow-ups on {product or project} here. If you’d like to pick it up later, just reply and we can confirm the details and current pricing. Thanks, {your name}.
When a human takes over, and when to stop
- A reply pauses the sequence so a person can respond to what was actually said.
- A request to stop ends the follow-ups. Record it so another workflow does not restart them.
- Adjust the cadence to the decision cycle and any timing the recipient has given you.
- Only mention availability, deadlines or price validity when they are real and confirmed.
- Use a channel the recipient expects. Check applicable messaging and marketing requirements before automating sends.
Implementation checklist, ten minutes
- Paste the four into your notes app or your software's templates.
- Review unanswered quotes or proposals. Confirm that a follow-up is appropriate and adapt the message before sending.
- Choose follow-up dates that fit your sales cycle.
- Count this month: quotes sent, quotes won, quotes that never answered. Repeat next month.
If your software can send day 3 and 7 for you, switch it on instead: read the follow-up sequence and adapt it to your tools. Want it applied to your business? Bring it to the free call.
